A portal enquiry arrives at 2:07 p.m. The agent is unlocking a property, the seller is asking about feedback and the next viewing is across town. At 8:14 p.m., the agent finally replies. By then the buyer has spoken to someone else and booked a viewing.

Every open item has an owner, due date, last contact, dependency and next action. The assistant sends authorised reminders, requests status from third parties, records responses and prepares a regular update using the same underlying record. Silence or a material change escalates to the agent; the assistant does not invent reassurance.
Communication can reveal risk but cannot guarantee a transaction will complete. Finance, inspection findings, title, legal issues, chain events, counterpart decisions and market conditions remain outside the coordinator’s control. - hold client money, escrow, trust funds, keys or access credentials outside approved controls; or
- present itself as a licensed agent or hide its actual role.
These boundaries preserve the work clients hire the agent to do. The assistant prepares a complete brief, maintains chronology and requests the necessary decision. The agent enters the conversation informed rather than buried in follow-up.
Tenant messages, maintenance work orders, rent administration, lease renewals and owner statements belong under property management support services. This service remains on the agency sales and lettings side.
How the working day is set up

How do we know whether the role is paying back?
