What you get

How a desk is run

Outsourcing fails in predictable ways. Six of the decisions that prevent each of them.

SOPs before anyone answers

Every desk starts with written procedures for the cases that actually arrive, approved by you. An agent improvising on day one is how outsourcing gets its reputation.

Coverage stated in hours, not adjectives

Which hours, which days, and what happens outside them, written into the agreement. "Extended hours" is not a coverage model.

A named team, not a pool

The same people, with a named lead on the Full Desk and above. Continuity is most of the quality.

The data agreement comes first

A UK GDPR Article 28 processor agreement, SCCs and the IDTA are in place before any personal data moves. Outsourcing customer data without one is your exposure, not ours.

QA you can audit

Monthly scoring against a rubric you approved, with the sampled tickets attached so you can disagree with the score.

Inside your systems

We work in your helpdesk, your CRM and your inbox. Nothing is locked to a platform we control, so ending the arrangement does not cost you your history.

Remote staffing

A named person, or a team of them, working your hours on your systems.

Support and sales desks

The desk that answers customers, and the one that follows up on enquiries.

How it works

From brief to live desk

  1. Describe the work

Volume, channels, hours, systems, and what a good outcome on a ticket looks like.

  2. Desk design and agreement

Shape, headcount, coverage and price in writing, with the data processing agreement signed before anything moves.

  3. SOPs and training

Procedures written and approved, agents trained against them, a pilot run on a sample of real cases.

  4. Go live and review

Live within 2 to 4 weeks depending on tier, with monthly QA scoring and a review cadence agreed at the start.

What we will tell you before you outsource

Outsourcing an undefined process makes it worse

If nobody can describe the steps, an outside team will not discover them; they will invent them. The first deliverable is documentation, and sometimes that is the whole fix.

Hiring is sometimes cheaper

For a small volume in your own timezone with high complexity, one local hire can beat a desk. The honest comparison is against your loaded cost per hour, not against a salary.

A desk cannot fix a product problem

If the same complaint arrives three hundred times, the answer is upstream. We will report the pattern rather than quietly absorbing it into ticket volume.

Why outsourced desks fail, and what prevents it

Almost every bad outsourcing story has the same shape: the process was never written down, so the new team improvised; the coverage was described in adjectives rather than hours, so nobody could say when it had been missed; and quality was discussed rather than scored, so the decline was only visible once customers mentioned it.

The three fixes are unglamorous. Write the procedures before anyone answers a ticket. State the coverage in hours and days in the agreement. Score quality monthly against a rubric the client approved, and attach the sampled tickets so the score can be argued with.

The compliance step that comes first

When we handle personal data on your behalf, support queues, form entries, CRM records; we act as a processor and you remain the controller. Article 28(3) of the UK GDPR requires that relationship to be governed by a binding written contract, and the Information Commissioner’s Office sets out when one is needed. That contract, together with Standard Contractual Clauses and the UK IDTA where data leaves the UK or EEA, is in place before any data moves. This is a description of how we work rather than legal advice; your own counsel should review anything you sign.

The comparison that actually decides it

The instinct is to compare a monthly desk fee against a monthly salary, which is the wrong comparison. The right one is against your own loaded cost per hour, salary plus employer contributions, equipment, management time and the hours the role is idle. Our in-house versus outsourcing calculator runs that sum in your browser with your own figures, and it will sometimes tell you to hire.

Working from Dhaka

The team is in Dhaka, UTC+6, on a Sunday-to-Friday week. For UK and EU clients that means work completed before your morning; for US clients the overlap is narrower and is agreed at kickoff rather than discovered in week three. Coverage hours are written into the agreement, per desk, so “covered” always means something specific.

You are buying a procedure, not people

Managed BPO operations floor with staff working at spaced workstations
The instinct when a team is overloaded is to buy hours.

The instinct when a team is overloaded is to buy hours. It rarely works, because the thing that is actually missing is a written procedure — and a desk of capable people without one is a group making consistent guesses that nobody can audit or improve.

So the procedure is the first deliverable and the staffing follows it. That is slower in week one and the difference is obvious by week four, when the exceptions start arriving coded by cause instead of arriving as a feeling that something is wrong.

BPO services, in practice

  • A written, client-approved procedure per stage before anybody goes live
  • Quality scored on a sample every month, and the score shared
  • Exceptions reported by cause rather than by volume

See the ATRIO billing desk for what that looks like on real work, and the back office outsourcing guide for what to hand over first.

How this work usually starts

A desk starts with a week of watching what actually arrives, in what form, and what is done with it. That week produces the procedure, and the procedure is what makes the work possible to hand over at all.

Two things make a desk auditable: a written procedure, and exceptions coded by cause. Without them you have bought hours; with them you have bought a control that gets better every month.

FAQ

BPO and outsourcing questions

How much do BPO services cost?

A desk starts at $350 per agent per month, in US dollars, for 4 hours a day across one channel. Longer hours, more channels and more complex work raise the figure — what sets it is hours, channels and complexity rather than headcount alone — and it is agreed in writing before anyone starts.

How quickly can a desk go live?

Two weeks for a single-channel desk, longer where there are more channels or a team lead to put in place. Most of that time is spent writing and approving the SOPs, which is what makes the first week of live traffic uneventful.

Where is the team based, and what hours do they work?

Dhaka, UTC+6. The working week runs Sunday to Friday, which means work lands before a Western Monday rather than after it. Exact coverage hours are stated per desk and written into the agreement.

How is our customer data protected?

Through a UK GDPR Article 28 processor agreement, Standard Contractual Clauses and the UK International Data Transfer Agreement where data leaves the UK or EEA, signed before any personal data moves, not afterwards.

Do we have to change our helpdesk?

No. We work inside your existing helpdesk, CRM and inbox. Your ticket history stays yours, which also means ending the arrangement does not cost you anything except the desk.

How do we know the quality is holding?

Monthly QA scoring against a rubric you approve, with the sampled tickets attached. You should be able to read the score and disagree with it, that is the point of attaching the evidence.
