Multi-factor authentication and device rules should be agreed before access. Shared master credentials are not a sensible default.
The access register records system, account owner, permission, purpose, approver, date granted, review date and removal. Offboarding means revoking access, transferring open work, returning or deleting files under the agreed rule and confirming completion.

Travel and itinerary management
Travel support begins with a preference profile: departure airports, acceptable connections, seating, baggage, hotel characteristics, loyalty programmes, ground-transport preferences, dietary considerations, budget or approval limits and the factors that matter more than price. The profile narrows research; it does not authorise a purchase.
The assistant can research practical options and present a short comparison showing schedule, total displayed cost, flexibility, baggage, connection risk and relevant cancellation conditions. You choose. The assistant then books only through the agreed approval and payment method, or prepares the selected option for you to complete.
After confirmation, the itinerary consolidates transport, accommodation, addresses, confirmation references, check-in windows, transfers, meeting or event details and essential contacts in one controlled location. Reminders surface time-sensitive steps. When plans move, the assistant checks the provider’s stated terms, gathers alternatives and seeks approval before accepting costs or material changes.
Visa, entry, passport-validity, vaccination and customs requirements can change and depend on citizenship, itinerary and circumstances. The assistant may gather links from relevant government, embassy, carrier or official provider sources and track deadlines. They do not provide immigration, legal or medical advice, guarantee entry, or treat a travel blog as authoritative.
A travel-day routine defines when the assistant is expected to monitor, the channel to use, what counts as urgent and what happens outside the agreed coverage window. Remote support is not represented as a 24-hour guarantee unless that coverage has been specifically contracted.

Personal calendar and appointment coordination
Calendar support protects both personal commitments and the work around them. Communication style and availability
The best personal-support channel is the one you will use without creating a second inbox to manage. At onboarding, the client and assistant agree a primary request channel, where files belong, normal response window, working hours, urgent definition, approval format and backup contact.
Each request receives a clear state: received, clarification needed, researching, awaiting your approval, waiting on a third party, confirmed, closed or cancelled. A status includes the next action and next check, not merely “in progress.” Time-sensitive requests are acknowledged according to the agreed service window; same-hour response is not implied outside it.
A daily digest can list completed items, decisions required, approaching dates and open third-party dependencies. A lower-volume arrangement may use a weekly summary. Private details stay out of the subject line or broad group message where a neutral reference will do.
The assistant learns tone as well as preferences. Some clients want two carefully filtered choices; others want the underlying comparison. Some prefer one morning summary; others want a message at each approval point. These are operating instructions, documented rather than guessed.

Where a remote assistant reaches their limits
Remote support has a physical boundary. An assistant cannot drive, collect an item, supervise a property, attend an appointment, inspect a repair, provide childcare or perform an in-person errand. They can research a provider, coordinate an authorised local contact, confirm timing and hold the follow-up, but somebody physically present remains responsible for access and verification.
The assistant also cannot sign in your name, represent that they are you, make a regulated decision, consent to treatment, accept a contract, move money or commit spending without the specific authority and control agreed in writing. Some providers will refuse to speak to a representative; their identity and authorisation procedures must be respected.

Is personal administration too private to outsource?
Some tasks may be, and you decide which. The service starts with a written scope, one named assistant, minimum necessary information, confidentiality obligations, individual access and explicit approval points. Sensitive or uncomfortable categories can remain entirely out of scope.
Can a remote personal assistant access my accounts?
Only accounts and permissions you explicitly authorise. Named delegated users are preferred. Where appropriate and permitted by policy, controlled password-manager sharing can avoid sending credentials in messages. Access is recorded, limited by purpose and revocable. There is no unilateral spending or commitment authority by default.
What happens if my named assistant leaves?
Open requests, approved routines, preferences and contacts are maintained in controlled working records rather than private memory. Offboarding revokes the departing assistant's access and completes a documented handover. A replacement receives only the access approved for them and begins with supervised work.
