It is rarely a typing problem; it is a template problem

Firms accumulate a proposal template, a “new” proposal template, a partner’s preferred version, a version copied from a successful bid and another adapted for one client. Each contains different margins, styles, clause text, dates, logos or instructions. Nobody knows which file is authoritative, so every new document becomes a bespoke reconstruction.

OveliTHub begins by inventorying the library, owner, use case, format, last approval, fixed content, variable content, dependencies and known defects. Duplicates and abandoned variants are identified. The proposed control set deliberately reduces the number of templates rather than adding another master file to the same folder.

This is not a claim that one template should serve every purpose. A short proposal, regulated return, board pack and contractual schedule can need different structures. The audit asks whether each variation represents a real business requirement, a jurisdictional requirement, an approved brand need or merely a manual formatting history.

Client-facing documents

Scope can include proposals, tenders and bid responses, statements of work, reports, credentials documents and presentation decks assembled from client-approved content. Production covers document structure, house styles, pagination, tables, figure placement, contents, appendices, defined output and return for approval.

The client owns the commercial position, response, claims, prices, scope and final sign-off. OveliTHub can identify an empty response or inconsistent supplied name; it does not invent a bid answer or rewrite a professional opinion to make the page fit.

Contractual and administrative documents

Agreements, schedules, appendices, standard letters and forms can be assembled from approved templates, clause choices and data supplied by the firm. The request must identify which authorised text and option applies. The preparer does not choose between legal clauses, determine whether an agreement is suitable or provide legal advice.

Legal practice operations such as matter administration, court deadlines, filing and billing belong to legal admin support services. Finance workflows such as invoice and expense administration belong to finance admin support services. This service prepares the controlled document output.

Recurring and periodic documents

Monthly reports, board packs, compliance submissions and regular client updates are suited to a defined cycle. The runbook states source cut-off, owner, supplied-data locations, required sections, review sequence, distribution list, version naming and archive. A recurring layout lets effort move from manual repair to content and exception review.

Regulatory submission does not transfer responsibility for completeness, professional judgement, statutory interpretation or filing unless separately and lawfully scoped. The client names the authorised reviewer and release authority.

The template audit produces a controlled library

The first deliverable can include:

  • an inventory of discovered templates, variants, formats, owners and apparent uses;
  • a keep, merge, revise, restrict or retire recommendation for each file;
  • a smaller proposed control set with one purpose per approved template;
  • proper paragraph, heading, list, table, caption and reference styles rather than visual formatting applied line by line;
  • numbering and section rules that survive insertion and deletion;
  • fixed content protected or clearly separated from variable fields where the software allows;
  • placeholder labels that identify required source, format and authorised owner;
  • brand, language, accessibility and output checks appropriate to the use;
  • a test set containing short, long and difficult examples; and
  • a template register with identifier, version, owner, approval date, next review and change history.

Automation is used carefully. A field that reliably pulls the current document title can remove error. A formula that calculates a total can help when inputs and rounding are controlled. Hidden logic that few people can test can make a template fragile. The audit keeps complexity only where it reduces production and can be maintained.

The client approves substantive fixed text. OveliTHub owns production configuration under the agreed scope, records changes and returns the library so the standard belongs to the firm rather than to an operator’s memory.

One current template is the single source of truth

Every controlled template has a stable identifier, human-readable title, version, status, owner, approval date and storage location. Superseded files are removed from normal selection or clearly marked and restricted according to the client’s record policy. A dated filename helps people recognise an output; it is not a substitute for a version register.

The request references the template ID and version. The production file records source content versions and attached schedules. Changes after assembly return through a named owner, and the document history distinguishes substantive client edits from preparer formatting. Email attachments named “final-final-2” are not treated as control.

OveliTHub does not silently improve substantive wording. Even a well-intentioned edit can change a defined term, obligation, financial meaning or approved claim. Suspected errors are flagged with location and question. The authorised client changes the source or instructs the exact correction.

The preparation workflow makes urgency visible

  1. Submit a complete request. Identify document type, template, source files, owner, required output, audience, deadline, confidentiality, accessibility level, attachments and approval path.
  2. Check readiness. Confirm that sources open, versions are named, mandatory sections and schedules are present, instructions do not conflict and the requested template is current.
  3. Assemble without rewriting. Place approved text and data, apply styles, construct tables, insert approved figures and schedules, and maintain section and reference structure.
  4. Run production checks. Check formatting, numbering, cross-references, defined terms, supplied figures, attachments, headers, footers, contents and output behaviour.
  5. Perform second-person review. A reviewer checks the agreed risk areas against the request, source and template. High-consequence or urgent work has an explicit review decision.
  6. Return with a change summary. The client receives the prepared file, output version, open questions, exceptions and a concise record of production changes.
  7. Approve and archive. The authorised client reviews substance and release. Final and working files follow the agreed storage, retention and deletion rules.

Turnaround options are agreed from page count, complexity, source readiness, output, review depth and queue. An urgent lane may reserve capacity and shorten normal handoffs, but it cannot make incomplete sources complete or guarantee a one-hour return. If the requested deadline does not permit the required accuracy or professional review, we state the available scope and risk before starting.

The accuracy check follows the source

The document checklist is tailored to type and consequence. It can include:

  • document title, client, project, matter or account identifiers against the request;
  • template ID, version, brand entity, language and output format;
  • all required source sections included once and in the intended order;
  • figures, dates and named values compared to the client-supplied source;
  • heading, paragraph, list, caption, table and note styles applied consistently;
  • automatic numbering, table of contents and cross-references updated and tested;
  • defined-term presentation checked for visible consistency without legal interpretation;
  • schedules, exhibits and appendices attached, labelled and referenced correctly;
  • headers, footers, confidentiality markings, page numbers and dates current;
  • links, bookmarks and navigation tested in the output format;
  • tracked changes, comments, hidden text, document properties and unwanted metadata handled under instruction; and
  • final PDF or other output visually compared on representative pages after conversion.

A number matching the supplied spreadsheet proves faithful transfer, not that the number is financially correct. A clause copied from the approved library proves source conformity, not legal suitability. The change summary keeps those responsibilities visible.

This direction of work also differs from data entry services. Data entry takes information from documents into a structured system. Document preparation takes approved content and data into a controlled client-facing or regulated document.

Confidential material needs a named handling boundary

Discovery identifies the document classes, data categories, client systems, authorised people, transfer route, storage, device, retention, incident contact and offboarding. Named preparers receive least-privilege access. Files use approved workspaces and managed devices; personal email, consumer storage and unapproved personal-device copies are outside the production route.

Confidentiality and data-processing terms are agreed where applicable. Legal, financial, board, personnel and personal documents may need additional restrictions such as limited project membership, disabled external sharing, controlled downloads, watermarking, access logs or segregated storage. Exact controls follow risk and client requirements; “confidential” in a filename is not a security design.

Retention is defined by file class. Working copies, source packages, comments, exports, backups and final versions may have different purposes and periods. At completion or exit, files are returned, retained or deleted under the client’s instructions and applicable requirements. OveliTHub does not keep sensitive document sets indefinitely for convenience.

When access ends, accounts and links are revoked, active work is reassigned, local approved caches are addressed, equipment is recovered where relevant and completion is recorded. The client remains responsible for legal privilege, professional secrecy, disclosure, retention and sector obligations and should obtain qualified advice.

Accessibility begins in structure, not in the final export

The request states the target audience, distribution channel, applicable policy or contract, required standard, authoring format and final format. Accessibility expectations can include real heading styles, meaningful reading order, descriptive link text, list structure, table headers, alternative text, sufficient contrast, language metadata, bookmarks, searchable text, understandable form labels and a usable tab order.

W3C recommends using the latest WCAG version for web accessibility work. Its current WCAG 2.2 techniques collection, checked 2 September 2026, includes informative PDF techniques for text alternatives, bookmarks, reading order, table markup, OCR, headings, links and form labels. W3C is clear that these techniques are examples, not the normative conformance test; the success criteria determine WCAG conformance.

Applicable legal requirements differ by jurisdiction, organisation and use. Public-sector procurement may specify a national standard or version that is not identical to the newest WCAG. The client identifies the binding requirement with qualified advice; OveliTHub prepares and tests against the agreed target.

Word, PowerPoint, accessible PDF and print-ready PDF serve different needs. A visually faithful export can lose tags or reading order, while a scanned page can look correct and contain no usable text. Delivery can include native source, accessible digital output, print output and a limitation report where the tool or source prevents full conformance. Automated checkers support but do not replace manual keyboard, reading-order and content review.

Where document preparation stops

We assemble, format, reference, produce and check against supplied authority. We do not:

  • draft or select substantive legal clauses, legal arguments or professional advice;
  • certify financial figures, determine accounting treatment or approve forecasts;
  • invent tender evidence, credentials, commitments or client claims;
  • decide what confidential, privileged, regulated or personal material may be disclosed;
  • sign, approve, file or distribute a document without explicit authorised scope;
  • change approved wording to solve layout pressure; or
  • promise regulatory or accessibility conformance without an agreed standard, evidence and authorised review.

If the need is broader scheduling, correspondence, records and office coordination, use administrative support services. This service remains focused on the controlled document artefact.

Pricing follows production complexity and control

Cost drivers include document type, page count, template maturity, number of source files, table and figure complexity, cross-references, appendices, accessibility target, output formats, review depth, confidentiality controls, recurring volume and turnaround. A clean recurring report assembled from stable sources differs from a one-off tender with dozens of contributors and late schedules.

Per-document pricing suits defined templates and source readiness. Per-hour work can suit variable remediation. A retained production queue suits recurring cycles with reserved capacity and agreed service windows. A template audit is priced as a bounded project after inventory sampling.

The quote defines what counts as ready, included revision rounds, substantive client changes, urgent-lane treatment, review responsibility and archive. A late source change can require rechecking numbering, references, contents and output, even when only one paragraph appears to move.

Named preparers and reviewers receive only the access required for the assigned scope. The agreement defines confidentiality, systems, devices, storage, transfer, retention, incident handling and offboarding. Additional restrictions are set from the document risk.

Nobody outside our firm understands our format. How will this work?

The template audit converts the standard from memory into controlled styles, rules, examples, fields and checklists. Your authorised owner approves it. A representative sample proves whether the library captures the firm’s actual requirements.

Can you return a document within an hour?

Sometimes a small, ready file can use an agreed urgent lane, but complexity, current capacity and required review determine feasibility. We will not promise a deadline that removes a necessary check without making that trade-off explicit.

Will you improve the writing?

Not under document preparation. We flag visible inconsistencies and questions but preserve substantive text. Copy-editing or drafting requires a separate brief, owner, approval and professional boundary.

Can you fix our existing templates?

Yes. We first inventory and consolidate, then rebuild the approved control set with styles, numbering, fields, instructions and tests. The objective is fewer trusted templates, not a cosmetic repair to every historical variant.

Is the sample always free?

A small, bounded representative formatting sample may be offered after a scope and confidentiality check. Large, sensitive, urgent, specialist or remediation-heavy documents may require paid discovery instead. The included output is confirmed before transfer.
