Month-end slips before the close begins. Supplier invoices arrive without purchase orders. Expense claims wait for receipts. A statement difference sits unanswered. Customer cash is visible at the bank but not matched to the invoice. In the last three working days, the controller stops reviewing the numbers and starts gathering them.

The management accounts arrive late or carry unresolved items. Operational decisions are made against an older view of cash, debtors, costs and liabilities. The accountant may finish the technical work, but expensive review time has been consumed by chasing documents and rebuilding schedules.

Why month-end slips every month

A close timetable can show the correct deadlines and still fail because prerequisite work has no daily owner. Unmatched invoices accumulate until the ledger review. Expense exceptions are discovered after the approver has gone offline. Supplier statements arrive in an inbox without a reconciliation routine. Receivable queries remain in sales email while the aged-debt report assumes finance owns them.

The controller becomes the integration point between purchasing, operations, employees, suppliers, customers, the accounting platform and the external accountant. Each interruption looks small. Together they move preparation into the review window and force the reviewer to assemble their own evidence.

The remedy is not to let an unqualified generalist “do the books.” It is to separate repeatable finance administration from accounting judgement, give the preparation an owner and preserve clear approvals.

The layer most finance functions do not staff properly

A small or growing business often has two available roles. The accountant or controller understands the chart, close, tax, controls and financial meaning. The office administrator can organise documents and communications but should not be expected to interpret a ledger or carry uncontrolled access.

Between them sits a substantial layer: capture an invoice, compare it with approved purchasing evidence, use an agreed coding matrix, request the missing receipt, reconcile a supplier statement, prepare the payment population, maintain debtor follow-ups, assemble a control-account schedule and show every exception to the reviewer.

This work needs finance-specific process discipline but not unrestricted approval. OVELITHUB staffs that layer with documented procedures, named access and an exception model. Preparation becomes repeatable; judgement remains with the people appointed to exercise it.

What finance admin support covers

Purchase ledger and accounts payable administration

OVELITHUB can collect invoices from approved channels, identify duplicates, check mandatory fields defined by the client, associate the supplier record, apply a proposed code from the agreed matrix and run two- or three-way matching against purchase orders and goods-receipt or service-confirmation evidence.

Matched items move to the prepared approval queue. Quantity, price, tax, currency, duplicate, missing-order, missing-receipt and supplier-master exceptions remain separate with an owner and due date. A preparer does not alter the evidence to make a match pass.

Supplier statements can be reconciled to the client’s recorded invoices, credits and payments. Missing documents and disputed differences are chased through approved contacts. The team prepares the payment run with invoice references, due dates, approval evidence, duplicate checks and exceptions; the client approves and releases it.

Sales ledger and receivables administration

The team can raise and issue invoices from approved contracts, schedules, delivery confirmations or authorised requests; apply receipts using stated references; maintain the aged-debtor working; send agreed reminders; and log disputes or promises to pay.

A missing remittance, part payment, unidentified receipt, pricing dispute or requested credit moves to the named owner. OVELITHUB does not change credit policy, negotiate a settlement, write off debt, issue an unapproved credit note or decide accounting treatment. The purpose is to keep the administrative trail current so the finance lead sees where judgement is needed.

Expenses, cards and receipts

Expense claims and card transactions are checked for claimant, date, business purpose, receipt, amount, currency, policy category, project or department and approval route. Missing evidence is chased. Duplicate receipts, personal items, split transactions, unusual merchants and policy exceptions are flagged rather than quietly approved.

The team can propose coding from the client’s matrix and prepare the reimbursement or card reconciliation population. The authorised manager approves the claim; finance retains final treatment and posting controls. Receipt chasing should occur throughout the month, not on the final close day.

Supplier onboarding and records

OVELITHUB can collect approved onboarding forms, business and tax documents required by the client, contact details, purchasing category, contract reference and declarations; check the pack for completeness; and prepare the supplier master record.

Bank details are treated as high risk. A new or changed account cannot be accepted solely because an email, attachment or invoice states it. The change is quarantined, independently verified through the client’s approved route, supported by a record and approved by an authorised client owner before any master-data action.

Month-end preparation

The team maintains the close checklist, dependencies and evidence by day. It can prepare schedules for open purchases, supplier statements, accrued-expense inputs supplied by budget owners, receivables, unapplied cash, employee expenses, card transactions, fixed-asset additions supplied under policy, prepayment source documents and control-account differences.

Preparation means assembling source-backed populations, checking arithmetic, comparing subledger and control information under the procedure and presenting unexplained items. It does not mean posting journals, selecting accounting estimates, determining accruals, producing management accounts or signing the reconciliation. Those belong to authorised accounting owners or separately governed accounting back office support.

The boundary: we prepare; you approve

OVELITHUB does not approve payments, release funds, control a bank account, create or change beneficiaries without the client’s verified process, sign off reconciliations, post professional judgement, file tax, provide tax or accounting advice, or certify financial statements.

Segregation of duties prevents one person from initiating, altering, approving and completing a sensitive transaction without independent control. In this service, the operator can capture and prepare within restricted access. A different authorised client person approves the invoice, supplier change, expense, credit, payment file or reconciliation. The bank or accounting release remains outside the preparer’s access where the systems permit.

Where a small organisation cannot fully separate system permissions, compensating review must be explicit: restricted values, independent source review, activity evidence, post-transaction monitoring and regular access checks. OVELITHUB does not describe a process as segregated when the same credential can prepare and release the transaction.

Fraud controls are part of the workflow

Controls are configured to the client’s systems and risk, but the operating minimum includes:

  • Known-source intake: invoices, expenses and supplier requests enter through approved channels with the sender and source retained.
  • Duplicate detection: supplier, invoice number, date, amount, currency, purchase order and file characteristics are checked under agreed rules.
  • Independent bank-detail verification: a new or changed bank instruction is verified through a known contact method, not the contact information contained in the request.
  • Dual control: payment populations and change requests are prepared with evidence but approved and released by authorised client users.
  • Restricted access: named users receive only the accounting modules, entities, documents and actions required.
  • Exception thresholds: unusual value, frequency, urgency, supplier, currency, country, duplicate or policy conditions route to independent review.
  • Activity evidence: request, change, preparer, approver, timestamp and source are retained through available system logs and the control record.
  • Access review and revocation: permissions are reviewed on schedule and removed promptly at role change or offboarding.

The FBI’s current business email compromise guidance, checked 2 September 2026, advises businesses to verify changes in account numbers or payment procedures with the requester and to obtain contact details independently rather than using those supplied in a suspicious message. OVELITHUB therefore will not act on a bank-detail or payment change from email alone, even if it appears inside a familiar thread or claims urgency.

If a suspicious instruction has already led to a transfer, the incident follows the client’s urgent banking, security, legal and law-enforcement response. The finance administrator preserves the message and route, stops further processing within authority and escalates immediately; it does not investigate beyond its role.

Work in your accounting system, not a spreadsheet on the side

OVELITHUB follows the client’s document and accounting workflow in the approved platform. It can work with accounting, expense, purchasing, document-capture, banking-view and communication systems according to the permissions and procedures the client provides. A separate spreadsheet may support a controlled reconciliation or exception schedule, but it does not become an unofficial ledger.

Named user roles are tested before production. The test confirms which entities, suppliers, invoices, customer records, reports, exports, settings and actions are visible. Access to create a transaction is separated from approval or payment where supported. Primary administrator, user-management, bank-release, billing-owner and unrestricted configuration rights remain with the client.

The chart of accounts is not learned by guessing from account names. The client provides an approved coding matrix with examples, entity, department, project, tax treatment boundaries and a route for new or ambiguous spend. Early coding is sampled by the finance owner. Frequent uncertainty becomes a matrix update or training action, not quiet inconsistency.

Working in the primary system prevents a second population that must be reconciled later. When offline preparation is necessary, the file has a source export, stable identifiers, version, owner, protected storage and controlled import or update path.

Build the close calendar from dependencies backwards

The current timetable is mapped by task, input, upstream owner, preparer, approver, due time, system, evidence, exception and sign-off. Tasks are labelled as preparation, approval, accounting judgement or external dependency. Only appropriate preparation and follow-up move into the finance-admin scope.

  1. Baseline one close. Record when inputs actually arrive, where work waits, who interrupts whom and which schedules are rebuilt.
  2. Define the close population. Agree cut-offs, entities, accounts, documents, reports, materiality or review thresholds owned by the client and required evidence.
  3. Write procedures. Document each preparation step, source, coding or matching rule, control total, exception and handoff.
  4. Provision restricted access. Test the role against both required work and prohibited approval or release actions.
  5. Run one cycle in parallel. OVELITHUB prepares while the existing owner reviews every output and calibrates the rules.
  6. Reconcile the handover. Compare schedules, unresolved items, control totals, supporting evidence and close status; correct gaps before autonomy.
  7. Transfer preparation. The team owns agreed daily and close tasks while reviewers focus on exceptions and sign-off.
  8. Review after cycle two. Measure timing, aged items, rework, access exceptions and whether reviewer time has shifted from gathering to review.

The client supplies policy decisions, chart ownership, approval limits, banking controls and accounting judgement. The procedure and timetable remain client-owned, so absence or supplier change does not erase the method.

What should change after two close cycles

The parties establish targets from the baseline rather than promising a universal close duration. Observable measures can include preparation tasks completed by timetable point; invoice, expense and supplier-query ageing; unmatched items by cause and value; statement reconciliations prepared; receipts or remittances outstanding; payment-run exceptions; coding rework; reconciliations returned for missing evidence; access or control incidents; and reviewer time spent gathering rather than reviewing.

The intended pattern is earlier visibility. Missing documents are chased before the last close days. Approval-ready and exception items are separated. Schedules arrive with source and control totals. The controller reviews the financial meaning and unresolved risk instead of searching inboxes.

A shorter close can be an agreed goal, but the service cannot guarantee it. Late commercial decisions, inventory counts, external statements, complex accounting questions and client approvals may remain critical dependencies. The report names those causes rather than presenting all delay as an administrative failure.

Scope follows the timetable and control design

Pricing considers entities, currencies, systems, monthly transaction population, document quality, matching rate, supplier and customer count, exception complexity, close calendar, service hours, access conditions, approval structure and reporting. OVELITHUB does not quote an invoice-processing cost or close-day benchmark without the client’s actual population and definitions.

A bounded starting scope can cover one entity, one payable stream and one close schedule. Expansion follows evidenced quality and control. If the organisation needs bookkeeping, journal posting, ledger maintenance, management accounts or tax work, that is separately scoped with the appropriate accounting governance.

Where finance administration stops

  • It does not approve or release payments, change bank beneficiaries from an email request or control the client’s bank account.
  • It does not post judgemental journals, maintain the ledger as an accounting service, prepare management accounts or sign reconciliations.
  • It does not determine tax, VAT, revenue recognition, accrual, provision, depreciation, foreign-exchange or accounting policy.
  • It does not run payroll or make statutory payroll submissions; those require payroll support services and client advisers.
  • It does not set credit policy, negotiate legal disputes or write off balances without authorised instruction.
  • It does not replace the accountant, controller, auditor, tax adviser, legal counsel or bank approver.
