What a Remote Marketing Assistant Does

Strategists lose the week to resizing, scheduling and reporting. See which tasks a remote marketing assistant should own, and how to hand them over.

A marketing team can have a sound campaign plan and still miss the moment. The source file sits at the wrong size. The email build waits for links. The social queue has no approved variant. Three people name the same campaign differently. The monthly report takes a day because nobody wrote down where its numbers come from.

That is execution debt: small production and operational tasks accumulate until strategists spend the week servicing the plan instead of improving it. A remote marketing assistant should own that execution layer under documented tracking, brand and approval rules.

The answer to what does a remote marketing assistant do is not “marketing, but cheaper”. The role turns an approved idea into correctly prepared, tracked, checked and scheduled work. Positioning, message, budget and interpretation remain with the people accountable for the campaign.

Where a strategist’s week actually goes

Log one campaign from approved brief to report. The hidden work usually includes locating the correct source asset, creating channel variants, applying naming rules, uploading files, rebuilding links, checking previews, chasing approval, setting audience and time zone, publishing, capturing proof and copying results into a recurring template.

None of those tasks is trivial when a wrong audience, broken link or untracked visit can affect the campaign. But most do not require the strategist to make the same foundational decision again. They require context, a standard and careful execution.

Use a two-week execution log:

  • task and campaign;
  • trigger and input received;
  • time spent and waiting time;
  • decision required or rule applied;
  • correction and its cause;
  • person who approved completion.

Group the results into strategy, creation, execution, approval and analysis. If execution and approval chasing dominate, another strategist will not automatically remove the constraint.

The execution layer, defined

A campaign contains three different kinds of work:

  1. Decide: audience, problem, offer, message, channel, budget, objective and measurement approach.
  2. Create: copy, design, video, landing page, email logic and supporting content against the direction.
  3. Operationalise: version, name, track, build, proof, route approval, schedule, publish, verify and assemble reporting evidence.

The third layer is the natural first handover because it has inspectable outputs. A scheduled post is either the approved version, account, time and link or it is not. An email build either matches the signed-off copy, audience and suppression rules or it does not. A tracking link either follows the convention and resolves correctly or it does not.

An assistant multiplies the process they receive. If naming, approvals and sources are vague, the role multiplies inconsistency. The guardrail is a convention set and an accountable review gate—not a claim that one person “understands the brand” intuitively.

What a remote marketing assistant should own

Publishing and scheduling

Done means: the approved content and asset are scheduled on the correct owned account, in the correct format, with working link, accessibility fields, campaign tag, time zone and approval evidence. The assistant captures the scheduled preview and verifies publication. Strategy and community-sensitive responses remain with authorised people.

For a larger publishing queue, a dedicated content publishing assistant may be the clearer role boundary.

Asset preparation and resizing

Done means: each derivative follows the live platform specification, approved safe area, aspect treatment, file limit, naming rule and brand template without distorting the original. The source, export and approval remain linked.

Do not embed remembered social-media dimensions permanently into the SOP. Meta and LinkedIn support multiple placements and update specifications. Link the checklist to the current Meta Business Help Centre and LinkedIn advertising specifications hub, record the date checked, and maintain channel templates. The assistant should flag a changed placement rather than force an old crop.

Done means: the destination is approved, parameters conform to the campaign register, the URL resolves on mobile and desktop, redirects preserve the required data, and the final link is stored once for reuse. The assistant does not invent a source or campaign name from memory.

Email build and pre-send QA

Done means: approved copy and assets are built in the correct template; personalisation fallbacks, links, tracking, sender, reply handling, audience, suppression, consent controls and schedule are checked; test messages render acceptably; the authorised owner approves the send. The assistant never chooses a larger audience to improve volume.

Landing-page updates in the CMS

Done means: an approved change is applied to the correct page, version and environment; headings, links, forms, analytics, metadata, alt text, mobile presentation and rollback are checked. New claims, offer terms, pricing or code beyond the role’s tested scope require specialist approval.

Listings and directory maintenance

Done means: hours, contact details, category, approved description, images and destination links agree with the source-of-truth profile. Duplicates, reviews and verification requests enter the correct escalation. Never “improve” a regulated or location-specific claim without approval.

Campaign report assembly

Done means: data is refreshed from the fixed sources and date range, definitions and attribution settings are recorded, anomalies are flagged, and the clean template reaches the strategist on the publishing date. Commentary and decision remain with the person who understands the plan and market context.

Competitor and keyword monitoring

Done means: observable changes are captured from lawful approved sources with date, link, screenshot where permitted and category. The assistant reports what changed, not why a competitor acted or what the company should do. SEO delivery itself belongs in a separate specialist scope.

The pre-send and pre-publish QA checklist

  1. Correct campaign, account, placement, audience and objective are selected.
  2. Copy and asset match the approved version; no tracked changes or placeholder text remain.
  3. Every destination opens, resolves to the intended page and preserves the approved tracking.
  4. UTM values match the campaign register exactly, including case and separator.
  5. Mobile and desktop previews are reviewed where relevant; cropping, line breaks and buttons remain usable.
  6. Alt text, captions, subtitles and other required accessibility fields are present and meaningful.
  7. Sender name, from address, reply address, legal footer and contact details are correct.
  8. Personalisation has a safe fallback and test records do not appear in the live audience.
  9. Audience, exclusions, consent or suppression settings and estimated size are reviewed by the authorised owner.
  10. Date, time, time zone, recurrence and campaign deadline are confirmed.
  11. Budget, bid, duration or other paid settings have written approval before activation.
  12. The scheduled or built preview is captured; a second person approves high-risk sends.
  13. Live verification, owner and rollback or pause action are scheduled.

The checklist should live in the work item and adapt by channel. A generic “proofed” checkbox hides which tests ran.

Tracking hygiene is the highest-return task nobody assigns

Inconsistent campaign parameters fragment reporting silently. `spring_sale`, `Spring-Sale` and `spring-sale` can appear as different values. A source named `linkedin`, `LinkedIn` and `li` divides one channel. A link copied from a previous campaign can assign current activity to the wrong initiative.

Google Analytics’ current custom campaign URL guidance recommends always setting `utm_source`, `utm_medium` and `utm_campaign` for manually tagged links, explains that values are case-sensitive, and recommends a standardised strategy. Google’s manual- and auto-tagging guidance also explains how UTM parameters and platform identifiers populate traffic-source dimensions. Use a campaign register with controlled values:

This is an example, not a prescribed taxonomy. Decide whether hyphens or underscores are permitted, how platform auto-tagging interacts with UTMs, and which values map to reporting channels. Lock the dictionary, give one person governance responsibility and route new values for approval.

Test the final URL after any shortener, redirect, consent flow or landing-page change. Preserve the registered link rather than rebuilding it for each scheduler. The useful output is clean acquisition data; the UTM sheet is only the control.

What stays with the strategist

The strategist owns positioning, audience choice, offer, message hierarchy, channel mix, budget allocation, testing question, creative direction, measurement design and interpretation. Those choices need commercial context and accountability.

An assistant can prepare research, build variants from an approved template and flag patterns. They should not conclude that a campaign “worked” from a single platform metric or change spend because a dashboard arrow is red. Attribution windows, tracking loss, channel interaction, margin, lead quality and sales follow-through affect interpretation.

Keep approval boundaries visible. Organic scheduling may move to assistant ownership after demonstrated accuracy. Paid activation, audience expansion, offer changes, regulated claims and bulk email should retain named approval. The role gains autonomy inside rules; it does not acquire strategy through job-title inflation.

Brand safety and access control

Issue named user access through the platform’s business or role-management function. Do not share the founder’s password or a generic administrator login. Grant only the account, page, asset, audience and action needed. Protect users with strong multifactor authentication and keep recovery, billing and ownership with internal administrators.

Separate prepare, approve and publish where consequence is high. An assistant may build a paid campaign in draft; the strategist verifies audience, budget, bid, offer, claim, tracking and dates before activation. Record who approved and what version they saw.

Write the response for an incorrect publication before it happens:

  1. pause or unpublish through the approved reversible action;
  2. preserve the live link, screenshot, timestamp, account and affected audience;
  3. notify the campaign owner and legal, privacy or customer lead if the content requires it;
  4. correct only after the authorised decision;
  5. verify the correction and tracking;
  6. record cause and update the checklist, permission or source process.

Do not delete evidence to make the dashboard look clean. If personal data, misleading claims or spend are involved, follow the organisation’s incident and regulatory process.

Reporting that takes an hour instead of a day

Fix four things: data sources, definitions, template and publishing date. The assistant refreshes the same exports or connected views for the same date range, checks completeness and documents anomalies. The strategist explains what changed and what the team will do.

The report pack should include:

  • campaign objective, ID, run dates, status and approved budget source;
  • channel outputs and spend from named systems;
  • site or app outcomes using the stated traffic-source scope and attribution setting;
  • lead or revenue outcomes reconciled to the downstream system where possible;
  • data notes: tracking breaks, consent effects, missing periods, late conversions and taxonomy changes;
  • strategist commentary: interpretation, decision, owner and next review.

Do not paste numbers into a slide without the source link, refresh time and definition. Lock prior-period snapshots when historical reports can change. A fixed process does not guarantee attribution truth; it makes limitations visible and the assembly reproducible.

The 30-day handover plan

Week 1: access and conventions

List channels, accounts, owners and recovery contacts. Issue named least-privilege access. Document the asset structure, naming dictionary, UTM register, approval states, QA checklists, publishing calendar and incident route. Use synthetic or old examples before live permissions expand.

Week 2: shadow one complete campaign

The assistant follows one campaign from approved brief through asset preparation, link creation, build, preview, scheduling and reporting setup. They write back the workflow and identify missing rules. Review every output.

Week 3: execute under review

The assistant operates the queue while the strategist approves before live action. A mistake is expected evidence, not a reason to hide work. Pause the item, protect audience and spend, compare source to output, correct it, classify the cause and repair the system. If the wrong asset was chosen because filenames are indistinguishable, fix naming as well as coaching.

Week 4: own the calendar with spot checks

Move demonstrated low-risk scheduling and reporting assembly to independent completion. Retain paid, bulk, regulated and strategy approvals. Sample live results, review the exception log and decide the next connected responsibility.

When an assistant will not fix the problem

If the strategy changes every day, define the audience, offer and decision owner before hiring. If approvals take a week, set an approval service window and backup approver. If no one owns tracking, appoint the taxonomy owner and repair active campaigns first. If source assets are scattered, create a controlled library with status and expiry.

If the real need is copy, design, paid media or analytics expertise, hire that specialist. Do not put strategic accountability into an assistant role and then blame the person for lacking context. If the work is mostly internal reminders, procurement and calendars, marketing admin support may be the more accurate scope.

Execution capacity works when the team can answer: What is approved? Which version is current? Who may publish? How is it tracked? What is the deadline? What does complete mean? Until those answers exist, adding capacity increases the speed of confusion.
